Field service management software for UK contractors

Jobs Tracker is field service management software built for UK lift, electrical, mechanical and building maintenance contractors running roughly 10 to 200 field engineers. It covers the whole working day in one system: enquiry to quote to job on a single reference, a drag-and-drop weekly schedule, a phone app engineers tap in and out of on site, RAMS signed off before work can start, materials and variations captured in the field, and timesheets built from those taps and exported to Sage 50 or Xero.

What field service management software does

Field service management software is the system a contractor uses to get work from the office to a van and the evidence back again. It schedules engineers against jobs, tells each engineer what they are on today, records when they arrived and left, collects the photos, signatures and paperwork the client will ask for, and turns the hours worked into something payroll and the accounts package can use without anyone retyping it.

Most contractors already do all of this. They do it with a whiteboard, a shared spreadsheet, a WhatsApp group and a Friday afternoon spent copying timesheets into Sage. The software does not change the work; it removes the retyping and the arguments about who was where.

Who Jobs Tracker is built for

The product is UK-only and trade-specific rather than generic. Three kinds of business run it: lift maintenance firms working callouts from Otis, KONE and Stannah service partners; electrical and mechanical contractors running highway lighting, M&E contracts and capital schemes with multi-stage purchase orders; and building and refurbishment contractors handling social-housing voids, school summer works and retail fit-outs where variations land on every job.

The common shape is a fleet of vans, engineers who are never at a desk, a client who wants evidence, and an office team small enough that nobody has time to chase paperwork.

What Jobs Tracker includes

  • Enquiry, quote and job on one auto-numbered reference, with the client documents carried forward

  • Drag-and-drop weekly schedule with conflict detection on annual leave, training and double-booking

  • Multi-day jobs and multi-engineer teams, not one assignee per job

  • A phone app for engineers: today’s jobs, tap-in and tap-out, arrival photos, site notices, messages

  • RAMS sign-off enforced by the server — an engineer cannot start work on an unsigned RAMS

  • Materials and variations logged on site, against the job, while the engineer is standing in it

  • Timesheets built from the taps, with travel deductions under the §8.6 working rule calculated and shown alongside the day, ready to switch on once you have checked them

  • Location-verified hours, graded so a real satellite fix is distinguishable from an IP-based guess

  • A live map of jobs, and of vans where a tracker feed is connected, updating without a refresh

  • Sage 50 exports with cost codes and per-worker resource IDs, and Xero timesheet and invoice exports

  • Carbon per job, per van, per month and per client, including a Scope 3 report for tender submissions

  • Your own branding, colours and web address, carried into the engineers’ app

  • An audit log of every change, retained for seven years

What makes it different from generic job software

Four things, all of them consequences of building for this trade rather than for everyone:

  • Discipline is enforced in the API, not hidden in the interface. A job cannot start before its scheduled day, jobs an engineer is not on are read-only, and an unsigned RAMS blocks work — none of which can be worked around by tapping somewhere else.

  • Hours are defensible. Tap-in coordinates carry an accuracy grade, and a missed tap-in is cross-checked against whether the van actually moved, which separates “not on site” from “on site, forgot to tap”.

  • Carbon is a first-class output, including a per-client Scope 3 PDF that goes straight into a tender response.

  • Scheduling and RAMS drafting both have AI assistance built in: a Pareto-frontier dispatch optimiser rather than fixed rules, and a RAMS draft generated from the job for a human to check and edit.

What Jobs Tracker does not do yet

Published deliberately. If one of these is a hard requirement, it is better established now than three weeks into a trial.

  • No client portal. Clients cannot log in to track jobs, approve quotes or pull certificates — everything client-facing goes by email.
  • No single sign-on and no two-factor authentication for customer users.
  • No purchase orders, supplier records, van stock or asset register, and no PAT or calibration tracking.
  • No accident or incident module, and no competency or ticket expiry register.
  • Offline writes are queued on the web app, but not in the native phone app — a tap-in made with no signal there is lost, and the app says so rather than pretending it synced.
  • Accounting exports cover Sage 50 and Xero. There is no QuickBooks integration, no outbound webhooks and no general public API.
